Statuses
What each enquiry status means and what moves an enquiry on.
Every enquiry has one status. Statuses are grouped into the ten stages on the stage bar at the top of the enquiry.

Enquiry statuses
| Status | Stage | Meaning | Moves on when |
|---|---|---|---|
| New | Intake | The enquiry has been created from an email, the shared folder or by hand. | The Screening Agent starts. |
| Screening | Suitability & scope | Suitability and scope are being checked against the ground rules. | You accept it, send a clarification, or decline it. |
| Client clarification | Clarification | Questions have gone to the client and Quote Hub is waiting for answers. | You select Resolved — proceed or approve Proceed to quote. |
| Requirements review | Requirements & stock | Accepted within scope. Lines and specs are confirmed. | The stock check starts. |
| Stock check | Requirements & stock | Each line is being checked against SAS stock and recycle inventory. | Every line has a route: stock or external supply. |
| Sourcing (Hub) | Sourcing | At least one line needs external supply. The RFQ Upload Tool form is prepared or with the KL hub. | The first supplier quote arrives. |
| Supplier quotes in | Sourcing | Supplier quotes are arriving. | You save a bid check. |
| Bid evaluation | Bid check | Offers are being compared line by line. | You confirm the supplier selection. |
| Costing & TBE | Costing & TBE | Sell prices, margins and the technical bid evaluation are being prepared. | You select Submit for approval. |
| Approval | Approval | Technical and commercial approvals are in progress. | All approval steps are approved. |
| Ready to submit | Quotation | Approved. Quote Hub has drafted the client quotation. | You send the quotation. |
| Submitted | Quotation | The quotation is with the client. | You record won or lost. Acceptance in the portal does not mark it won. |
| Deviation resolution | Quotation | The quotation went with deviations the client has not yet accepted. | The client resolves the last deviation or accepts the quotation in the portal (back to Submitted), or you record won or lost. |
| Won | Outcome | The client awarded the order. | Final, unless re-opened. |
| Lost | Outcome | The client did not award it to Score. | Final, unless re-opened. |
| Closed | Outcome | Declined as not within scope of supply. | Final, unless re-opened. |
How statuses change
- Mostly forward. Status moves forward on its own as work is done. It only moves back in the cases listed below.
- Skipping. If every line comes from Score stock, the enquiry goes from stock check straight to Costing & TBE.
- Approval rejected. If any approval step is rejected, the enquiry goes back to Costing & TBE, the other pending approval is cancelled and the owner is notified.
- Costing changed after submission. At Approval, Ready to submit, Submitted or Deviation resolution, rebuilding the costing sheet or changing a line's margin, adders or sell price (including by an approved AI costing proposal) returns the enquiry to Costing & TBE. Approvals are cancelled and an approved, unsent quotation goes back to draft. You see Approval needed again.
- Client accepts the quotation. The enquiry moves to Submitted if it was not already, including from Deviation resolution. You still record the outcome with Won.
- Re-open. On a won, lost or closed enquiry, the owner, a sales lead or an administrator selects Re-open. The outcome and reason are cleared. The enquiry returns to Submitted if a quotation was sent, otherwise to Requirements review.
- Every change is recorded in Activity & D365 with who or what made it. When an agent, the system, a client or a supplier changes the status, the owner gets a notification.
Suitability and scope verdicts
The header of each enquiry shows two verdicts from screening: Suitability (is the enquiry complete and workable) and Scope (is it within Score's scope of supply and the frame agreement).
| Verdict | Meaning |
|---|---|
| Pending | Not screened yet. |
| Pass | No rule or check found a problem. |
| Ambiguous | Something needs checking or asking: missing data, unclear scope or a rule marked Ambiguous. |
| Fail | A rule or check found a clear problem. |
A verdict is the worst result of the ground rules and the Screening Agent's own review. Accepting an enquiry within scope sets both to Pass. Declining it sets scope to Fail. See Screening.
