FAQ
Answers to common questions about working in Quote Hub.
Edit it. On Lines & specs, select the pencil on the line, correct the value and select Save line. The fields you changed count as confirmed, and their warnings clear. If the wrong value is in a pending Update enquiry data proposal, edit it in the card before approving, or reject it.
Yes. Every step has its own buttons and forms: New enquiry, Accept within scope, Decline, the clarification form, the sourcing and bid check tabs, costing and the quotation. You can leave proposals undecided or reject them. See How AI works.
It moves to Closed with scope set to Fail and your reason saved. If the enquiry has a client contact email, the decline email you wrote goes to the client. The enquiry stays in Quote Hub for search and reporting.
Open the won, lost or closed enquiry and select Re-open in the Next: bar. Only the enquiry owner, a sales lead or an administrator can do this. The outcome and its reason are cleared. If a quotation was sent, the enquiry returns to Submitted and a "Sent" status update is queued for D365; otherwise it returns to Requirements review. The change is recorded in Activity & D365. See Outcome.
Check Intake mailbox. Each email shows its status:
- ignored: the Intake Agent judged it was not an enquiry.
- processed with no new enquiry: it was a reply about an existing enquiry and was added to that enquiry's client thread, or it was a supplier quotation for the hub to upload.
- failed: it could not be read. The error is shown.
Select Re-run to process it again. The button is hidden for emails that already created an enquiry; use Re-screen on that enquiry instead. You can also select Add email to paste it in, or create the enquiry with New enquiry. See Intake.
They are routed to you, but they are not private. The All pending tab of the AI Action Inbox shows every pending proposal. A proposal can be decided by you, anyone with the same role, a sales lead or an administrator, for example when you are away. Every decision is recorded with the person's name.
Either a colleague decided it (see Recently decided), or the agent replaced it with a newer proposal of the same kind and the old one was superseded.
No. Approval carries out the action straight away, and an email cannot be recalled. Correct the result by hand, for example by editing the enquiry or sending a follow-up message. The approval stays in the audit log.
Quote Hub tried to carry out the approved action and something stopped it. The reason is shown on the card, for example a missing client contact email. Fix the cause and do the step by hand, or wait for the agent to propose it again.
The supplier portal and RFQ email show the RFQ number, the lines, quantities and technical details, the requirements and the due date. They do not show the client name, site, tag numbers or client item numbers. Requirement text is shown as written, so keep the client name out of it.
Yes. Clients and suppliers never need an account. They open the portal from the link in our email and confirm a one-time access code sent to the same address. If a client replies by email to the enquiry mailbox instead, the Intake Agent adds the reply to the enquiry's client thread when it can match it to the enquiry.
Acceptance notifies the owner and moves the enquiry to Submitted, including from Deviation resolution, but the outcome is yours to record. Select Won and enter the PO or award reference. This also sends the won status to the D365 import folder.
The enquiry goes back to Costing & TBE and you are notified with the approver's comments. The other approval, if still pending, is cancelled. Revise the costing, then select Submit for approval again. A new set of approval steps starts.
Each step belongs to one role, such as technical approver or sales lead. Only that role, or an administrator, can decide it. See Roles.
